Requesting an agenda
The process that creates the agenda for the next meeting uses a private AI system that runs entirely on the chapel computer. Therefore, no information about the meeting or the minutes of the previous meeting is shared on the internet — it doesn’t leave the chapel!
When you press the button to Request an agenda (which should only be necessary if the automated system has failed for some reason), the chapel PC is automatically switched on and it then prepares the agenda automatically.
When an agenda is ready, the system automatically sends each member who should attend the meeting an email containing a link to the new agenda and a list of their own action points. The Ward Technology Specialist also receives a confirmation that the emails have gone out.
Sending the reminder emails
If you click the “Send the reminder emails” button, and an agenda has already been created, the automated emails are sent to each person who is invited to the meeting to which the agenda relates. Generally these things will happen automatically, so the buttons are here only for troubleshooting purposes.
